Please read this policy carefully. By using our website or Services, you agree to the practices described here. If you do not agree, please do not use our Services.
We may update this policy from time to time. Any changes will be posted on this page with an updated "Last updated" date. We encourage you to review it periodically.

2. What Personal Information We Collect
We collect personal information in the following ways:
Information you give us directly:
- Your name, email address, phone number and business name when you contact us or complete our enquiry form
- Information you share with us during discovery calls, consultations or onboarding
- Business information relevant to setting up your AI systems (e.g. workflows, existing tools, communication preferences)
- Any correspondence you send us by email, phone or other means
Information collected automatically:
- Basic usage data when you visit our website, including pages viewed, time spent, and referring source
- Device and browser information, and your IP address
- Cookie data as described in Section 8 below
Information from third parties:
- Where you connect third-party tools or platforms as part of your AI stack setup, we may receive data through those integrations only to the extent necessary to deliver your services
- We do not purchase or acquire personal data from data brokers or marketing lists
3. How We Use Your Information
We use the personal information we collect to:
- Respond to your enquiries and provide quotations or information about our Services
- Deliver, set up and manage the AI automation services you have contracted us for
- Communicate with you about your account, project progress and service updates
- Send you relevant information, tips or updates about your services where you have agreed to receive these
- Process payments and maintain financial records as required by law
- Improve our website and services based on how they are used
- Comply with legal obligations and resolve any disputes
- Protect the security and integrity of our business and services
We will never sell, rent or share your personal data with third parties for their own marketing purposes.
4. Our Legal Basis for Processing
We process your personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Our legal bases are:
- Contract performance — where processing is necessary to deliver the services you have engaged us for
- Legitimate interests — where we have a legitimate business interest in processing your data, such as responding to enquiries, improving our services, or maintaining business records, and this interest is not overridden by your rights
- Legal obligation — where we are required to process data to comply with the law, for example for tax and accounting purposes
- Consent — where you have explicitly agreed to a specific use, for example receiving marketing communications. You may withdraw consent at any time
5. AI Services & Your Data
As an AI automation business, we want to be transparent about how AI tools interact with data in the course of delivering our services.
The AI systems we build and manage on your behalf operate within the platforms and tools you subscribe to directly. Your business data processed through those systems remains under your control and within your accounts — we act as a service provider, not the data controller for your clients' data.
We do not use your business data or your clients' data to train AI models. We do not sell or share operational data from your AI stack with any third parties.
Where AI tools process personal data as part of delivering your services (for example, an AI receptionist handling call enquiries), you as the business owner are the data controller for that data. We will provide guidance on your obligations and assist you in communicating transparently with your own customers as required.
We do not use automated decision-making or profiling that produces legal or similarly significant effects on individuals in the course of our own operations.
6. Sharing Your Information
We may share your personal information in limited circumstances:
- Service providers — third-party tools and platforms we use to run our business (e.g. email, scheduling, accounting). These providers are bound by their own privacy policies and data processing agreements and may only process your data on our behalf
- Legal requirements — where we are required to disclose information by law, court order or regulatory authority
- Business transfer — in the event of a merger, acquisition or sale of assets, your data may be transferred as part of that transaction, subject to equivalent privacy protections
- With your consent — for any other purpose, only with your explicit agreement
We do not sell personal data. We do not share data with advertising networks or data brokers.
7. How Long We Keep Your Data
- Enquiry data — retained for up to 12 months from the date of enquiry if no contract is entered into
- Client records — retained for 6 years following the end of a client engagement, in line with HMRC requirements for business financial records
- Website usage data — retained in anonymised or aggregated form; identifiable data is not retained beyond the active session unless consent is given
After these periods, data is securely deleted or anonymised.
8. Cookies
Our website uses essential cookies to function correctly — for example, to remember your cookie preference. We do not currently use advertising or tracking cookies, and we do not use third-party analytics platforms.
You can control cookie settings through your browser. Blocking essential cookies may affect how the site functions.
If we introduce additional cookies in future, we will update this policy and request your consent where required.
9. Data Security
We take the security of your personal data seriously and implement appropriate technical and organisational measures to protect it against unauthorised access, loss, alteration or disclosure.
These include using secure, reputable platforms for communication and data storage, limiting access to personal data to only those who need it, and keeping software and systems up to date.
However, no method of electronic transmission or storage is entirely secure. We cannot guarantee absolute security, and we recommend you do not send sensitive personal or financial information via unsecured channels.
10. Third-Party Links
Our website may contain links to third-party websites. We are not responsible for the privacy practices or content of those sites. We encourage you to review their privacy policies before providing any personal information.
11. Children's Data
Our Services are intended for business owners and professionals and are not directed at children under the age of 18. We do not knowingly collect personal data from children. If you believe a child has provided us with their information, please contact us and we will delete it promptly.
12. Your Rights
Under UK GDPR, you have the following rights regarding your personal data:
- Right to access — request a copy of the personal data we hold about you
- Right to rectification — request correction of inaccurate or incomplete data
- Right to erasure — request deletion of your personal data in certain circumstances
- Right to restrict processing — ask us to pause processing your data in certain situations
- Right to data portability — receive your data in a structured, machine-readable format
- Right to object — object to processing based on legitimate interests or for direct marketing
- Right to withdraw consent — where processing is based on consent, you may withdraw it at any time without affecting prior processing
To exercise any of these rights, contact us at hello@raiseai.co.uk. We will respond within one month as required by law. We may need to verify your identity before processing your request.
We will not discriminate against you for exercising any of your rights.
13. Complaints
If you are unhappy with how we have handled your personal data, please contact us in the first instance at hello@raiseai.co.uk and we will do our best to resolve the matter.
If you remain unsatisfied, you have the right to lodge a complaint with the UK's data protection regulator, the Information Commissioner's Office (ICO): ico.org.uk · 0303 123 1113.
